A community-oriented shopping center, Kettleman Station is committed to supporting the growth of small and local businesses,  In speaking with our tenants we’ve heard of their struggles and responded.  We’ve  created a novel management model at both Kettleman Station, our 44,000 square foot commercial shopping center in Lodi, California, and Clearsuites, a new workspace solution launched at Kettleman Station with expansion set for downtown Lodi.  

 

At Kettleman Station, our ‘Main Street’ style approach concentrates on Design, Economic Vitality, Promotion and Organization as the four points that lead to small business success.  We work with our tenants to design attractive and efficient spaces, enhance their business revenue, market their goods and services and pivot our organizational structure to one that not only sustains, but creates new business opportunities.  This approach allows our tenants to focus on what they are most passionate about: creating a great experience for their customers that ensures their continuing patronage.  

 

New business opportunities, such as Clearsuites, was designed to  create workspace solutions for small business and independent operators where they can have all the amenities of a larger business complex (conference room, break rooms, cleaning, modern telecommunications, security) In a more individualized professional office setting. Clearsuites empowers our business members to be professional, connected, creative and present. 

 

To support our new organizational model, Kettleman Station is looking for talented, energetic, professionals to join our team. If you are excited to be part of our success, we want to talk to you!  We are currently looking for a Business Concierge, preferably someone with executive assistant experience, to support the success of our small business clients. The Business Concierge is the first line of communication with our tenants, whether they need a referral to a qualified computer tech, want help with marketing, or have special requirements for parking, security, or meeting space.    

 

This role requires someone open to learning and leveraging new software to efficiently maintain tenant records, communication, and invoicing. As well, this position serves as the first point of welcome to Clearsuites at Kettleman Station,  a setting of motivated, interesting and professional entrepreneurs.  Specific duties which reflect our center's emphasis on design, economic vitality, promotion, and organization include:
 

Executive Assistant Duties/Responsibilities

  • Drafts correspondence on behalf of management for distribution to tenants, potential tenants or others as requested by management.

  • Retrieves information for management or tenants, as requested by management.

  • Supports development and distribution of marketing materials.

  • Responds to and resolves administrative inquiries and questions from tenants. 

  • Handles tenant invoicing and account payables.

  • Manages Clearsuites supply inventory

  • Provides referral contacts for goods and services

  • Facilitates information technology services

  • Manages response to maintenance issues

  • Coordinates with virtual assistant on scheduling meetings, travel, and appointments

  • Communicates regularly with tenants to anticipate and address business needs

  • Performs other Executive Assistant duties as assigned

 

Welcome Duties/Responsibilities 

  • Answers and screens phone calls, referring to management or tenants, as appropriate.

  • Welcomes, screens, and directs walk-ins, potential tenants or tenant clients. 

  • Receives and distributes mail and packages to management and tenants. 

  • Coordinates use of in-office meeting space

  • Manages Clearsuites facility appearance and function  

  • Performs other Receptionist duties as assigned

 

Administrative Duties/Responsibilities

  • Maintains electronic and hard-copy filing systems. 

  • Records and distributes management meeting notes, as requested. 

  • Maintains office supplies and coordinates maintenance of office equipment.  

  • Performs other administrative duties as assigned

 

Essential Requirements

  • 5 or more years in a fast paced, high performing environment in an executive assistant role.

  • Exceptional ability and passion for working with people

  • Flexible working hours (typically between 9 am and 5 pm weekdays, but some weekends required.)

  • Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, projectors, fax machines).

  • Ability to work effectively with minimal supervision

  • Proficient in Microsoft Office, but adaptable to new software technology

  • A Plus:

  • Local knowledge and work experience

  • Some Spanish fluency

  • Physical Requirements: 

  • Prolonged periods sitting at a desk and working on a computer. 

  • Must be able to lift up to 15 pounds at times.

 

Wages and Hours

This position is permanent, full-time, exempt at 40 hours per week.  Salary range is $42,000 to $46,000 annually, dependent on experience. Benefits are negotiable.
